Understanding booking statuses
Last updated About 2 months ago
Every booking in Scrub moves through a series of statuses as it progresses from a client request to a completed job. This article walks through what each status means, what moves a booking to the next stage, and where to find statuses that aren't shown in the main pipeline.
The Booking Status pipeline
At the top of every booking's detail page, you'll see a Booking Status stepper with five stages:
Inquiry — The booking has just been created. No quote has been sent yet.
Estimated — A quote has been created for this booking and is ready to send (or has been sent) to the client.
Approved — The client has approved the quote.
Scheduled — A date, time, and staff member have been assigned to the job.
Completed — The job has been finished.
Each stage shows a checkmark once it's done, a clock icon while it's the current stage, and stays greyed out until the booking reaches it — so at a glance you can see exactly where a booking stands.
Statuses you won't see in the pipeline
A few additional statuses can apply to a booking but aren't shown as steps in the main pipeline above:
On the Way and Job In Progress — these reflect what's happening on the day of the job itself (staff heading to the property, then actively working). You'll move a booking into these via the action button at the top of the booking (e.g. "Mark On the Way"), and they show up as a colored status badge next to the booking number rather than as a pipeline step.
Canceled — if a booking needs to be canceled, you'll be asked for a cancellation reason, and you can optionally add internal notes, refund a linked invoice, and notify the client. Canceled bookings also show as a status badge rather than in the pipeline.
Note: the Quote status is separate
The Quote panel on the right side of the booking (Draft, Sent, Approved, etc.) tracks the status of the quote itself, which is related to — but distinct from — the overall Booking Status. A booking can be in the "Estimated" stage while its quote moves through Draft → Sent → Approved.
Keeping track of changes
Every status change is logged in the Activity feed on the booking detail page, so you (and your team) always have a record of when and how a booking moved through its lifecycle.
